Gift Aid Management System

Design and Implementation of an organisation-wide Gift Aid system to manage and record the reclaiming of donor tax paid on donations to a UK based NGO.

Gift Aid is a mechanism by which UK registered charities can reclaim tax paid by donors on their donations to the charity on the basis of their signing a declaration instructing the charity to reclaim tax on their donations. This presents an amazing opportunity to charities to increase their income by almost 30% in exchange for a small organisational overhead.

Gift Aid Forms can be effortlessly completed

Drawing from data original entered into separate Membership and Accounts database systems, the Gift Aid System manages the full process of Gift Aid Reclaims including:

  • Identifying qualifying donations by Members
    • Which Members have current Gift Aid declarations
    • Which payments qualify under the Gift Aid system
  • Aggregating Member's donations into annual totals
  • Printing results directly onto the Inland Revenue's R68 Reclaim Form!

By using data already entered to other systems, and centralising the whole reclaim process in a single system it becomes easy to keep track of what has and what hasn't been claimed and the specific rational for this on a per-donation and per-member basis.

The system has been in use since 2003.
